General Summary
The Center for Indonesian Policy Studies (CIPS) is seeking a highly skilled and experienced Associate Director of Projects to oversee and coordinate our diverse portfolio of projects. The successful candidate will be responsible for ensuring that all projects are delivered on time, within scope and within budget, while maintaining the highest standards of quality. The Associate Director of Projects will work closely with project leads, researchers, and communications personnel to align project goals with organizational objectives, donor commitments, and facilitate effective interface and collaboration amongst all project associates and CIPS’ executive levels. Associate Director of Projects is also expected to have strong people management skills and experience.
The Associate Director of Projects will report to the CIPS Executive Leadership. The position will lead Project Teams and Heads of Departments to secure team resources and ensure successful delivery of projects.
About Us
Key Qualifications

Minimum of 8 years experience, with at least 5 years in a project management leadership role, preferably within a research or policy-focused organization.

Experience of managing at least 8 staff members and multiple simultaneous projects.

Project Management Professional certification or similar project management certification is highly desirable.

Demonstrated success in managing complex, multi-disciplinary projects from inception to completion.

Strong understanding of research and policy advocacy processes.

Excellent organizational, analytical, and problem-solving skills.

Exceptional communication and interpersonal skills, with the ability to
collaborate effectively with diverse teams and stakeholders. -
Proficiency in project management tools such as Monday.com or similar tools.

Ability to work under pressure and manage multiple priorities.

A strong commitment to upholding CIPS' mission and values.

Key Responsibilities
A. Project Management
-
Develop and implement project management frameworks and processes across departments to ensure consistent, high-quality project execution.

Lead and manage the planning, execution, and delivery of multiple projects simultaneously.

Coordinate closely with senior leadership to create and define detailed project plans including project scopes, objectives, deliverables, timelines, budgets, and resource allocation.

Monitor project progress and performance, and promptly identify and address any issues or delays.

Facilitate regular project meetings and status updates, ensuring clear communication among team members.

Implement and maintain project management tools and systems to improve efficiency and transparency.

Conduct monitoring and evaluation of completed projects against targets and identify areas needed for improvement and achieving higher levels of excellence.

Oversee the preparation and dissemination of project reports and presentations to stakeholders and donors.
B. Personnel Management

Coordinate with research and external relations teams to ensure alignment with project goals and organizational priorities.

Mentor and guide project managers and other team members, fostering a culture of continuous improvement and professional development.

Ensure all projects comply with organizational policies, donor commitments, and relevant governing regulations.

Coordinate with Head of Departments and HRGA staff on personnel performance reviews and professional development planning

Provide feedback to Head of Departments and HRGA staff that supports anticipation of future resources and skills needed, recruitment initiatives, and staff retention strategies​
