events officer

The Center for Indonesian Policy Studies is now hiring an Events Officer to handle the project management of all CIPS events. This role will take part in event design, pre-event planning, management of the event budget, event promotion, logistics and speakers, as well as event evaluation. The position will ensure that the events effectively engage key target audiences and communicate CIPS key messages to serve the overarching marketing and communications plans and strategy of the organisation.

Main Accountabilities

  • Formulate and execute event concepts that follow modern event design and facilitation methods, meaningfully engage CIPS partners, respond to audience consumption and engagement trends, and effectively engage in relevant public policy discussions to disseminate key policy messages of CIPS and to ensure events are executed with the desired quality and reach the targeted outcome. 

  • Responsible for pre-event planning with speaker and participant invitations, coordinating tasks with colleagues across CIPS departments, booking and preparation of offline and online venues, and assessment as well as mitigation of risks for all attendees.

  • Build and maintain positive relationships with external vendors and negotiate contracts with event service providers and venues according to CIPS events guidelines and checklists.

  • Maintain excellent relations with partner organizations and speakers involved in CIPS’ events.

  • Oversee the on-day logistics of all events and host, moderate, and/or MC events organized by CIPS, where the need arises.

  • Ensure the efficient use of available event budgets, minimize costs, and report on all incurred expenses.

  • Prepare and produce timely event evaluation reports and report on event participation for the generation of fundraising leads and institutional partnerships.

  • Produce high quality event documents and materials in both Bahasa Indonesia and English that are suitable for external dissemination.

  • Identify and relay event audience needs, feedback, trends and useful information to the Outreach Manager and/or Head of Outreach for the continuous improvement of CIPS events.

  • Support CIPS work culture of open feedback, positive teamwork, self-leadership in ensuring high standards in the delivery of outputs.



  • Candidates must be Indonesian citizens with at least a Bachelor’s university degree.

  • Hold a minimum 2 years’ experience as a proactive, confident, and excellent communicator and organiser in handling and leading online and offline events.

  • Able to demonstrate strong self-leadership and initiative in project and event management.

  • Fluent communication skills in English and Bahasa Indonesia (oral and written), preferably with experience in public speaking, including MC/moderating.

  • Interested in public policy issues, stays up-to-date with economic and social developments in Indonesia, and is familiar with CIPS’ research focus areas.

  • Able to perform effectively and confidently in a fast-paced environment and manage multiple priorities.
